  • Hello and welcome to the newly updated (08/29/2019) Google Forms Sheets Docs 3.0 (GFSD3). This could not have been created without the support of random YouTube tutorial videos, Facebook Excel and Google Sheets groups, support from friends and family, and most importantly, the teachers and students that I work with who go through the learning and creation process with me, some unknowingly, during each new version. There are a few steps that must happen for this program to work - which should be easy to follow along. Any of the links below with a "*" - you need those! Make a copy!

GFSD 3.0 - Data Analysis Program | Explanation & Tutorials


The last Google Sheets file ever needed - in regards to student assessment data!
The main goal of this program is to obtain students answers from a Google Form Assessment and, for the teacher, or team of teachers, to have a complete understanding of each student's, and classes, knowledge from the assessment. The end result will allow the teacher to automatically email each student a personalized report and methods for immediate remediation and differentiation based on scores on the assessment and each of the four possible sections. Sound too good to be true? ...

THE GOOGLE FORM SETUP

The teacher will create an assessment (Example) in Google Forms. The form can have many different form question types - just not short or long answer. The form does require three questions at the beginning of it but it's easy to setup. Once you create your Google Form Assessment, you will need to link it to the GFSD3 program.

LINK GOOGLE FORM TO GFSD3

Once you have created your own copy of the GFSD3 program, you will need to link your Google Form Assessment to it. Be sure to RENAME your copy of the GFSD file the name of your assessment. When you are ready to link the google form to your copy of GFSD3, your copy version should be near the top of the choices to link. Select the your file, and then the Google Form and GFSD3 will be paired. A new tab will open in your browser of your GFSD3 copy. 

CREATE A KEY - THIS IS KEY

If you have not done so already, you - the teacher - need to take the Google Form Assessment FIRST. Your answers will act as the KEY and all other answers submitted by the students will be compared to your answers. Take your time. Answer correctly. No pressure.

SETUP THE GFSD3 PROGRAM AND ACTIVATE IT

Once you took the assessment and created the KEY, divert your attention to your linked GFSD3 file. You MUST complete the "START" sheet first before anything else happens. This is the sheet that makes all the data go where it needs to go. If you see a purple cell, fill it out! Some have already been done for you - as recommendations - but feel free to change them. Next, click on the "ACTION" sheet and click on the image to activate the program. Think of this as a car with keyless entry. It will then require you to accept macros to run. You are required to accept, otherwise, the GFSD3 will not work. This is the magic behind the data collection! You will only need to do this once.

SHARE THE FORM ASSESSMENT TO STUDENTS

Students will need the link to the Google Form Assessment, so share it in your Google Classroom or however else you share information with your students. When the class officially begins the assessment, make note of the TIME it started. You can use this for the personalized student reports. When students click 'Submit' their answer will be sent to your copy of GFSD3.

GFSD3 DURING DATA COLLECTION

The file is going to be doing a ton of work while it is collecting your student responses. So, give it some time to do ALL OF THE WORK FOR YOU! I have personally seen this file in action when collecting over 100 student responses within the same hour. It will take a few seconds each time data is submitted, so please - be patient. It is worth the wait. With that being said, still feel free to click around your sheets to see the color-coded data collection at work. Select purple cells on these sheets, and stare in amazement of how smart your students are!

AUTOCRAT STUDENT EMAIL REPORTS

We strongly recommend to wait and send the student email after all have been collected. This will make GFSD3 work more smoothly, and you will need to know the TIMES of each classes START for the student reports as well. Much more documentation about the AUTOCRAT can be found below:

AFTER IT IS ALL DONE

Meet with your team of teachers and discuss what you see. Anything interesting pop up? Any questions that your students totally bombed? Any questions that were too easy? Any classes that were lower or higher than expected? Discuss the data collected with your team and make the necessary remediation or changes to guide your students to a better understanding of the content of this assessment. You can do it. That was never the issue. Now, it's just easier...
NOTE: Even if you do not have student emails, or if students are unable to access their student emails, you can still create these unique reports. Simply have them enter in a fake, or real email, and then once this AUTOCRAT process is complete, go to your google drive folder where the files are kept, and print them out! This is a work-around to those without emails.
